Resume of Board meeting 7th March Sandy Harper

27 March 2008
A resume of the Board meeting held on Friday the 7th March at Kettering

These notes are taken from the draft minutes and reports. Barry Sumsion was in the chair as I was on holiday. Nick Baines and Peter Bevan gave their apologies.
The Treasurer, Graham Sheppard reported that the balances are extremely healthy.
This year, thanks to the new membership data-base and Nigel Nelson, we have much better information about the relationship between membership structure and income, which has in the past been of extreme concern to our “auditors”
A ‘Guild 2016’ account has been set up to provide for 60th Anniversary activities and £10k has been placed in this account as the 2007-8 contribution. An onward rate of £10k per year will produce a fund of £80k, before interest.
The guidance document circulated at the last Board and Council meeting, which was for comment by 15 Feb 08, has not received any comment whatsoever. Graham therefore moved that the document be accepted and ratified by the meeting, and once the Chairman has signed off the draft minutes of this Board meeting, that it then be placed on the Guild Forum so that the membership could see that we are playing by the rules and that their funds are carefully used . The proposal was agreed. Financially the Guild has had a good year and costs are expected to be well down on last year.
Barry Sumsion as Chair of publications reported that he had a concern with the recent Gazette which, once again, suffered in the overseas mailing. The printer realised immediately that a mistake had been made, in that Guild News had not been included with some of the Australian and New Zealand addresses. Artytype immediately sent out the requisite copies and this extra cost is being borne by the printer. We have had no complaints as a result of this quick action. Both the Gazette and Guild News have received what amounts to nearly rave reviews with regard to the new looks and content. This will only get better. The reprint of the Small Layouts book Vol 2 has happened and will be launched at the Kettering show. The content is essentially as before with a few updates included and with a fresh look to bring it into line with the Gazette etc.
Bruce Pinchbeck, E&T, reported that 7 DVD stock lists were issued to members, and together with the website lists and postal lists he had some £3,100 of pre-sold stock for the Kettering Show. He also thanked Nigel Nelson for his work in making the web listings more readable than before. E&T will be informing members that in future no more coarse scale track will be accepted. A Mrs. Hanson has written to thank E&T and requested that receipts from the sale of the remaining items from her late husbands estate is retained in full by the Guild. Bruce has written thanking her for this kind gesture.
Nigel Smith reported that the temporary loss of Gethin from the events team has caused a re-arranging of posts and tasks. The immediate need was for a replacement show manager for Telford and he has approached Mike Williams who has kindly offered to step in and cover. The Board members send their best wishes to Gethin and Julie.
A. O. B. It was agreed to form a small group to investigate sales items for the sales stand. John Flower, Chris Thorn and AN Other. Nominations for Con. Reps. were needed for South Wales and East Midlands. Mike Marritt asked if there was any progress on the proposed ‘Layout Register’ Gethin had this in hand so it is unlikely that progress would be made in the near future. Graham Sheppard commented that the website was looking good and that Jim Hollom, webmaster, had some good ideas that he was working on to improve it.

Sandy Harper
Chairman

Video Library Payment by Credit Card PD Matthys

11 December 2007
A number of overseas members are now availing themselves of the Library, but some have found it difficult to pay as they are unable to send Sterling cheques. Non Sterling cheques take forever to clear, and incure charges which are prohibitive. Some members are willing to pay by Credit Card, but Chris Simpson has no facility to accept Credit Card payments.
Guild Administration at Artytype are geared up for Credit Card payments and are willing to process Orders for video hire using Credit Card payment.
Contact Chris Simpson to agree which programmes you want, then contact Guild Administration to agree a debit against your Credit Card. Chris Simpson's (Video Hire) contact details are in the Video Library Advert in the Gazette or on the web site, Guild Administration can be contacted by email at: gog@artytype.co.uk or by phone: 0845 6036213. The mailing address is in the Gazette content page, In all cases ask for Lesley. Lesley and Chris Simpson will liaise to ensure you get what you order.

This is primarily to help out Overseas Members, It is preferable and simpler (from accounting and logistic points of view) to receive payment by Sterling cheque. Members who can pay by Sterling cheque are requested to continue to pay that way.
